For this program, there are so many possible ways to format it. I would love for everyone to have the same wines if possible, but it's not 100% necessary. I'm thinking we get started with checking in on your colleague out in Pennsylvania. If they can send you a store or two that they like to shop in, I can see what that store has and choose things we have here in CO for everyone else! Once I can see what they have access to out there, we can think about a theme for the tasting. Since you are all in the health food industry, I will be sure to select sustainable wines that are free of additives and clean to drink (that on it's own could be a potential theme!).
Next, the logistics: it's up to you how many bottles you would like to have per person. I think three is a good number, but we can certainly do two or four depending on your budget and how in-depth you would like the content. Is there a central office or other location that everyone might be able to pick the wines up from if we got them there a week or so before the tasting? I can happily deliver! If not, we can look at some other possibilities.
As far as pricing, we can do the wines anywhere from about $12 a bottle and up, plus a fee of $100 for a one hour tasting. This includes delivery to one drop-off location. I will also manage the Zoom meeting and provide an email with preparation suggestions prior to the tasting.
Here's a breakdown of pricing for a one hour tasting experience for 8 people using a figure of $15/bottle (we can adjust this up or down as needed!) Also, I went with 8 since the 9th is out of state --- if needed we can look at shipping to them but hopefully we can find the wines local to them instead:

3 bottles x 8 people at $15 = $360
$100 event fee + delivery + setup = $100

As for your husband's birthday (and any other events in the pipeline), we do it all! Depending on the topic, I may bring in a guest specialist to present. It can be really fun (and more entertaining/engaging) to have a few different voices in the mix presenting. If it's tequila or whiskey, I will invite one of my colleagues to present the product so that it's very dynamic, educational, and fun. I vet all presenters so they are always well-spoken and great on camera :) We can supply all of the product and take care of everything! We offer design services too, so if you are looking to add a great looking email or text invite. We can also offer fun activities like games, trivia, slideshows... whatever! We have done a number of birthdays, baby showers, bridal parties, etc in this format and getting more versed all the time. We used to do it all in person, but now we have adapted to our situation and the party must go on haha. Simple is sometimes preferred too, and when people start drinking their attention span is reduced, so we can talk about the type of experience he would like most and really personalize it.
For the Denver crew all the same applies! We can pick a theme such as grape variety or style or region and do a comparative tasting, or we can do a series... whatever you guys want!
